Quick Start Guide
Get your TawkBase AI receptionist up and running in 10 minutes.
- An email address
- 10 minutes of your time
- (Optional) Google/Microsoft 365 Calendar for appointment booking
Step 1: Create Your Account
Visit app.tawkbase.ai and sign up with:
- Email and password
- Google account
- Microsoft account
Verify your email and complete the onboarding wizard.
Step 2: Create Your Organization
Organizations let you manage multiple businesses separately. Each gets its own AI agent.
- Click “Create Organization”
- Enter your organization name (e.g., “Downtown Salon”)
- Click Create
Step 3: Get a Phone Number
Your AI receptionist needs a phone number to receive calls.
Option A: Get a New Number
- Go to Phone Number in the menu
- Click “Search for a Number”
- Enter your area code or city
- Select and purchase your preferred number
Option B: Forward Your Existing Number
- Note your TawkBase number from the dashboard
- Contact your phone provider to forward calls to your TawkBase number
Step 4: Add Business Information
Help your AI agent represent your business accurately.
- Go to Business Information
- Fill in:
- Business name and description
- Business hours
- Address and contact info
- Services you offer
- Click Save
Step 5: Train Your Agent
Teach your AI receptionist about your business.
- Go to Voice Receptionist
- Enter your website URL (we’ll extract information automatically)
- Add custom knowledge:
- Common questions and answers
- Pricing information
- Special instructions
- Choose a voice (male or female)
- Set a custom greeting
Step 6: Configure Google Calendar (Optional)
Enable automatic appointment booking.
- Go to Integrations
- Click Connect next to Google Calendar
- Sign in with your Google account
- Grant calendar access
- Select which calendar to use for bookings
Your AI agent can now check availability and book appointments automatically!
Step 7: Test Your Agent
Make sure everything works before going live.
- Call your TawkBase number
- Test different scenarios:
- Ask about business hours
- Request to book an appointment
- Ask to speak with someone
- Review the call in Call History
- Adjust agent configuration if needed
Step 8: Go Live!
Your AI receptionist is ready to handle calls.
- Calls are answered automatically 24/7
- View call history and transcripts in the dashboard
- Receive notifications for important calls
- Monitor performance and make adjustments

Can I use my existing phone number?

Your AI agent can transfer calls to you or a team member. You can also configure it to take a message and notify you.
Can I have multiple locations?
Yes! Create separate organizations for each location. Each gets its own phone number and AI agent.
