• Voice data and call recordings related to our AI voice agent services

C. Third-Party Authentication and Integration Data

Google (OAuth)

If you connect your Google account, we may request access to:

• Google Calendar data (events, availability, etc.) necessary for scheduling and related features
• Profile information (e.g., name and email) to personalize your experience

Google Calendar and related OAuth scopes will be explicitly listed during the consent flow. We only request the minimum scope necessary for functionality, such as reading and writing calendar events.

Microsoft (OAuth)

If you connect your Microsoft account, we may request access to:

• Microsoft Graph API for calendar data (events, availability) necessary for scheduling and related features
• Profile information (e.g., name and email) to personalize your experience

Microsoft Graph scopes will be explicitly listed during the consent flow. We only request the minimum scope necessary for functionality. We handle Microsoft user data in compliance with Microsoft's Services Agreement and the Microsoft API Terms of Use.

Sign in with Apple

If you choose to sign in with your Apple ID, we receive:

• A unique Apple-provided identifier
• Your name (only if you choose to share it during the first sign-in)
• Your email address, or a private email relay address (ending in @privaterelay.appleid.com) if you choose to hide your email

We use this information solely to create and maintain your TawkBase account and to communicate with you about the Service. We comply with Apple's Sign in with Apple requirements, including:

• Limiting data collection to your name and email address
• Respecting your choice to keep your email private via Apple's Private Email Relay
• Not tracking or profiling your interactions with the app for advertising purposes without your consent
• Not sharing this data with third parties for advertising purposes

D. Information from Third-Party Callers

When someone calls or sends an SMS to a TawkBase-managed phone number, we collect information about that call or message, including:

• The caller's phone number
• Call audio, transcripts, and recordings
• SMS message content
• Time, duration, and outcome of the interaction
• Any information the caller provides to our AI voice agent (e.g., name, email, appointment details)

This information is collected on behalf of our customer (the business operating the TawkBase account that owns the phone number) and is processed in accordance with that customer's instructions. Our customers are responsible for complying with applicable call recording and disclosure laws in their jurisdictions.

2. How We Use Your Information

A. Core Service Delivery

We use your information to:

• Provide, maintain, and improve our AI services
• Process transactions and manage accounts
• Communicate with you about updates and support
• Analyze usage for performance and optimization

B. Google API Data Use

We use Google user data strictly to enable the functionality you authorize, such as:

• Displaying and managing your calendar events in-app
• Syncing changes between TawkBase and Google Calendar
• Improving calendar-related workflows

We do not use Google API data for any purpose beyond what is disclosed here and in the OAuth consent screen.

3. Legal Basis for Processing

Where required by applicable law, our legal basis for processing personal data includes:

• Your consent (for OAuth connections and calendar access)
• Performance of a contract with you
• Compliance with legal obligations

4. Information Sharing and Disclosure

A. Third-Party Service Providers

We may share information with trusted vendors who help with:

• Analytics and performance monitoring

These providers are contractually required to safeguard the data we share.

B. With Your Consent

We may share your information with third parties when you explicitly authorize it (for example, connecting a Google Calendar account).

D. Sub-processors and Service Providers

We rely on trusted third-party service providers to help us deliver the TawkBase Service. These include providers of:

• Cloud hosting and data storage infrastructure
• User authentication and account management
• AI voice agent orchestration and natural language processing
• Telephony and SMS delivery
• Payment processing (for web and Android subscriptions)
• In-App Purchase processing (for iOS subscriptions, via Apple)
• Optional third-party integrations (such as Google Calendar and Microsoft Calendar) that you explicitly authorize
• Push notification delivery
• Customer support ticketing
• Analytics and performance monitoring

These service providers are contractually obligated to protect your information and to use it only to provide services to us. We do not sell your personal information to any of these providers or to any other third party. A current list of specific sub-processors is available upon request by contacting admin@tawkbase.ai.

5. How We Store and Protect Your Data

We implement industry-standard technical and organizational measures to protect your information from unauthorized access, alteration, disclosure, or destruction. Despite these efforts, no system can be completely secure.

6. Google API Services and Limited Use

We commit that any Google API data we receive, including Google Calendar information, will be handled in compliance with the Google API Services User Data Policy. We will:

• Only use Google user data for the purposes disclosed here
• Not serve ads based on Google user data
• Limit use to in-app features that the user explicitly enables
• Securely store and process Google data

7. Cookies and Tracking Technology

We use cookies and similar technologies to enhance user experience, analyze trends, and support functionality. You can disable cookies through your browser settings, though it may affect service quality.

8. Data Retention

We retain personal and Google API data to the extent necessary to provide services and fulfill legitimate business purposes. When no longer needed, we delete or anonymize data according to our internal retention standards.

9. Your Rights

Depending on your jurisdiction, you may have rights to:

• Correct or delete your data
• Restrict or object to processing
• Withdraw consent
• Receive a portable copy of your data
• California residents (CCPA/CPRA): Opt out of the "sale" or "sharing" of personal information. We do not sell personal information as defined under the CCPA.

To exercise these rights, contact admin@tawkbase.ai. You can also delete your account at any time from within the app (Settings > Delete Account) or, for iOS subscribers, by canceling your subscription in Apple Settings > Subscriptions.

10. International Data Transfers

Your information may be stored and processed in the United States. By using our services, you consent to transfer of information across borders.

11. Children's Privacy

Our services are not intended for individuals under 18. We do not knowingly collect data from minors.

12. Updates to This Policy

We may update this policy as practices or legal requirements change. We will post updates to this page with a revised date. Continued use of our services after changes constitutes acceptance.
